AI approval workflow

An AI approval workflow for every post, reply, and business update

Before anything goes live, your team can see what will change, why it was suggested and where customers will see it. The owner or manager can edit it, reject it or approve it.

This is human in the loop AI in everyday work. Connecting Google, Facebook or Instagram does not let a draft publish itself. A person still makes the final call.

Why check first?

One wrong detail can reach customers in seconds

If Saturday hours are wrong, customers may arrive after you close. A rushed review reply can sound dismissive. A social offer may be sent to three channels with the wrong date.

With a marketing approval workflow, the owner or manager sees the whole update before it goes live. If the hours, offer or account access are not confirmed, the task stays on hold.

How approvals work

How a draft moves through approval

The page should show whether the work is still a draft, approved, sent, failed or live. Those are different states.

  1. 01Set the rule

    Choose what needs a check

Decide which posts, replies or business details need approval before anyone can publish them.

  2. 02Choose the reviewer

Send it to the right person

Name the owner, manager or team member who should decide. Add a deadline so overdue work is easy to spot.

  3. 03Read it

Check the source and the full draft

Open the original review, business detail or offer. Then read exactly what customers would see.

  4. 04Decide

Approve it, change it or stop it

Edit, approve, reject or leave it on hold. If it was approved by mistake, withdraw it before it runs.

  5. 05Keep the record

    Check what happened

See whether the change was sent, failed or went live. Then open the same page or channel and check it again.

Before you approve

What the approval screen should show

You should not have to guess what is changing, where it will appear or who asked for it.

01

The full change

Read the complete reply, post, opening-hours update or business correction.

02

The reason

See where the information came from, when it was checked and why the change was suggested.

03

Where it will appear

Know which business, location and Google or social account will change.

04

The person responsible

See who needs to decide, when the answer is due and whether the task is overdue.

05

The current status

See if the work is waiting, changed, rejected, approved, withdrawn, sent, failed or complete.

06

The result

Open the same page or account afterward and record what customers can now see.

After you approve

See what happened after you clicked Approve

The activity record keeps the edit, approval and publishing result separate. If Instagram rejects a post, you can see that without guessing from a green Approved badge.

The record shows what changed. It cannot prove that the change brought more visits, bookings, orders or revenue.

Common questions

AI Approval Workflow FAQ

What is an AI approval workflow?+

It gives a person the final say before AI-prepared work changes anything customers can see. The reviewer sees the source and the full draft, then edits, approves, rejects or pauses it. This is often called human in the loop AI.

Which marketing changes should someone review?+

Start with anything that changes public business information or speaks directly to customers. Common examples are opening hours, review replies, social posts, offers and corrections to business facts.

Can I change the draft before approving it?+

Yes. Read the full draft and its source first. If you make a change, the record should keep both the original suggestion and your final version.

Who gets the final say in a marketing approval workflow?+

You choose the owner, manager or team member responsible for that business and channel. Being able to sign in to an account does not automatically make someone an approver.

What if the reviewer misses the deadline?+

The task should become overdue and stay unpublished. You can send it to another reviewer, change the deadline or keep it on hold.

Can I withdraw something after approving it?+

Yes, as long as it has not been sent. The task should show that the approval was withdrawn and prevent the change from going live.

Can I use this as a social media approval workflow?+

Yes. The reviewer can check the caption, image, offer, hashtags and selected accounts together before the post is scheduled or published.

What if publishing fails?+

Approval and publishing are separate steps. If Google, Facebook or another platform rejects the change, the task should name the account or connection that needs attention and keep the failed attempt in the activity record.

Where can I see who approved a change?+

The activity record should show the source, draft, human edits, reviewer, decision time and publishing status. It should also show when the page or account was checked again. The fields you can see depend on your workspace permissions and connected account.
